Items, units and rates
An item is anything you sell or buy: Cooking Oil 1L, sugar, a tap, a mobile cover. Each item has a smallest unit (like Pcs or Kg), bigger units if you need them (Dozen, Carton), its rates and its stock.
Add an item
On the computer (website)
- Open Items & Prices and tap Add item.
- Type the item name, e.g. Cooking Oil 1L. You can also add an Urdu name, a code (SKU) and a category.
- Under Units, the first unit is the smallest one — stock is counted in it (e.g. Pcs, Kg).
- Under Sale rates, type the rate for each price list.
- Type the Opening stock you have now and the Cost per unit (used for profit).
- Tap Save item.
On the phone app
- Open the Items tab and tap + Add item.
- Type the Item name and the Smallest unit (e.g. Pcs, Kg, Litre).
- Add bigger units with + Add unit if you need them.
- Type the rates, Stock now and Cost per unit.
- Tap Save item. Adding or changing items needs the internet.
Units: pcs, kg, dozen, carton
Stock is always counted in the smallest unit. A bigger unit says how many smallest units it holds: 1 Dozen = 12 Pcs, 1 Carton = 24 Pcs. Sell 1 carton and 3 pieces from the same stock — it stays right in every unit.
- In the item, tap Add unit.
- Type the unit name (e.g. Carton) and how many of the smallest unit are in one (e.g. 24).
- Choose which unit comes first on sale bills and on purchase bills (Default sale unit / Default purchase unit).
- Save the item.
Tips
- Set the size carefully. Once a unit is used on a bill, its size can't be changed — add a new unit instead.
- Don't sell in a unit any more? Hide it (e.g. Hide Dozen on new bills). Old bills keep it.
- Turn off Track stock for this item for services like delivery or labour.
Price lists and rates
A price list is a set of rates, e.g. Retail and Wholesale. Each customer can have a price list, and their bills use its rates by themselves. The rate on a bill comes from: the customer's special rate first, then their price list, then the default rate.
On the computer (website)
- Add price lists in Settings → Lists → Price lists (e.g. Wholesale). One list is the default — used for walk-in customers.
- In each item, type a rate for each price list and unit. Leave a bigger unit empty to use base rate × size.
- For a cheaper rate on bigger orders, add one under Cheaper rate for bigger orders — e.g. Wholesale, Carton, from 10 → Rs 950 a carton.
- Give a customer their list in the customer's details → Rate list.
On the phone app
- In the item, type the rate for each price list under Rates.
- For cheaper rates on bigger orders, tap + Add quantity rate.
- Price lists themselves are added in More → Settings → Lists.
Tips
- Every rate can still be changed on the bill (if your role allows it).
- The bill shows the last rate given to that customer, so you stay consistent.
- Minimum sale rate: staff can't sell below it without permission.
- A special rate for one customer: see Customers and suppliers.
Barcodes and scanning
Each unit can have its own barcode — one for the piece and another for the carton. Scanning adds the item with the right unit.
On the computer (website)
- In the item, type or scan the code into Barcode (optional) next to the unit.
- On New Sale (POS), click the item search box and scan with a USB or Bluetooth barcode scanner — the item is added straight away.
On the phone app
- In the item form, tap the scan button next to the unit's barcode and point the camera at the code.
- On the Sale tab, tap Scan barcode to add an item with the camera.
- The first time, tap Allow camera.
Switch an item off
An item you don't sell any more can be switched off (Switch off). It won't show in the bill search, but its stock, rates and history stay. Turn on Show inactive to see it again and switch it on.
Common problems
- The bill asks for a rate
- What to do: The item has no rate for this price list and unit. Type the rate on the bill, or add it in the item.
- “Below minimum” on the bill
- What to do: The rate is below the item's minimum sale rate. Raise it, or ask someone allowed to sell below it.
- The carton rate is wrong
- What to do: If the carton rate is empty, Zevox uses base rate × size. Type the carton rate in the item.
