Daily deliveries & schemes

A dairy or water plant sends the same things to the same homes every day. In Zevox each customer on delivery has what they get, on which days, morning or evening, and a fixed rate if they have one. Each day you tick off the sheet; at month end every customer gets one bill on their khata. Schemes let a mart or distributor give free units or a % off, and every bill applies them by itself — even a salesman without the discount permission. These screens are on the website.

Switch it on

On the computer (website)

  1. Open Settings → Business & features.
  2. Tick Daily deliveries (milk, water) for deliveries, and Schemes & offers for schemes.
  3. Tap Save.

Tips

  • Milk shops and water plants have deliveries on already; marts and distributors have schemes on.

Add a customer on delivery

On the computer (website)

  1. Open Bills → Daily deliveries → Customers on delivery and tap Add delivery customer (or Add to daily deliveries in a customer's ⋯ menu).
  2. Choose the customer and the item, its unit and the Quantity each day.
  3. Pick the Days (Every day, All but Sunday, or tap single days) and Morning or evening.
  4. Type a Fixed rate (optional) if this customer pays a set price; empty = the normal rate when billed.
  5. Type a Route / area (optional) — the sheet groups customers by it — and tap Save.

Tips

  • Customer away? Change → Pause from and Until: nothing is due between those days. Pause from today in the row menu does it in one tap.
  • Stop delivery ends it; the days already delivered still go on the month bill.

The daily sheet

On the computer (website)

  1. Open Daily deliveries (or Today's deliveries on the dashboard).
  2. Customers due today are listed by route, then morning and evening, with their usual quantity filled in.
  3. Change a quantity if more or less went, or tick Skip for a customer who took nothing.
  4. Check the Total load — what goes out on the van — and tap Save with the day's date.

Tips

  • Forgot a day? Pick it in Day (or Day before) and save it. Days still to come can't be saved.
  • Saving a day again only corrects it — each customer has one row per day.

Month bills

On the computer (website)

  1. Open Daily deliveries → Month bills and choose the month.
  2. Each customer shows the days, every item's quantity × rate and the amount (at today's rates, or the fixed rate, before tax).
  3. Untick anyone you don't want to bill yet, then tap Make bills.
  4. One udhar sale per customer is made and its link is shown. WhatsApp sends a customer their month.

Tips

  • Billed days are locked on the sheet and show On bill …. To change one, cancel that bill: the days open again and can be billed again.
  • Billing needs the permissions to sell and to give udhar.

Make a scheme

On the computer (website)

  1. Open Stock → Schemes & offers and tap New scheme.
  2. Type the Name the cashier will see, e.g. Pepsi 10 + 1.
  3. Choose Buy N get M free (one item) or % off (one item or a whole category, from a quantity if you like).
  4. For buy N get M, type Buy and Get free in the item's smallest unit — it works in multiples: buy 20, get 2.
  5. Set Starts and Ends (or leave them empty) and keep On ticked. Tap Save.

Tips

  • Switch a scheme off to stop it without losing its report. Running today lists only those on now.

Schemes on bills

  • On a sale, quotation or order, a line that qualifies gets its free units or % off by itself and shows a badge, e.g. Scheme: 10 + 1 or Scheme: 20% off.
  • Free units are given only when they come out whole in the line's unit — 1 free bottle on a line in cartons is left to the cashier.
  • Within the scheme no discount permission is needed. Remove scheme takes it off that line, and it stays off.
  • Reports → Schemes shows, for any period, the bills, free quantity, discount and sales of each scheme.

Common problems

“This day is already on bill …”
What to do: That day is on a month bill. Cancel the bill to change it, then bill the month again.
“… day still to come”
What to do: Deliveries are saved for today or earlier days only.
“Line …: more free quantity or discount than the scheme gives”
What to do: Lower the free quantity or discount on that line, or tap Remove scheme.
A scheme doesn't apply on a bill
What to do: Check its dates and that it is On, the line's quantity reaches the scheme, and for free units that they come out whole in the line's unit.
Daily deliveries or Schemes isn't in the menu
What to do: Switch them on in Settings → Business & features.
