Mobile & electronics: IMEI, warranty, used phones, installments

In a mobile or electronics shop every piece has its own IMEI or serial number. Zevox records each piece when it comes in, lets you pick the exact piece when you sell it, starts its warranty on the sale day and keeps its full history. You can also buy used phones from customers and sell on installments, with reminders for what is due. These screens are on the website.

Switch it on

On the computer (website)

  1. Open Settings → Business & features.
  2. Tick Serial / IMEI & warranty, and Installments (qist) if you sell on installments.
  3. Installments are a credit sale, so Udhar must be on too.
  4. Tap Save.

Tips

  • The shop types Mobile phones & accessories and Electronics / Home appliances have these switched on already.

Set up a phone model

On the computer (website)

  1. Open the item (or Add item on Items & Prices).
  2. Tick Each piece has its own serial / IMEI — do it before the first purchase.
  3. Type the Warranty (months). It is counted from the day of sale; leave it empty or 0 for no warranty.
  4. For a new item with opening stock, type the Serial / IMEI of each opening piece, one per line — as many lines as the opening quantity. Then save.

Tips

  • The item page shows a Pieces in stock card: each piece's IMEI (and IMEI 2) and whether it is New or Used.

Buy with IMEIs

On the computer (website)

  1. Make the purchase as usual and add the model.
  2. On its line, scan or type the IMEI in the Scan or type IMEI / serial box. If needed, add IMEI 2 (optional) and choose New or Used.
  3. Press Enter or tap Add. Each piece's IMEI is listed on the line and the quantity follows the count.
  4. Do this for every piece, then save.

Tips

  • Have a list of IMEIs? Paste them all at once, separated by spaces or new lines.
  • The bill can't be saved until every piece has its IMEI.

Sell by scanning the IMEI

On the computer (website)

  1. Open New sale.
  2. Scan the phone's IMEI straight into the item search box — the phone is added with that IMEI.
  3. Or add the item and pick its pieces under Pick the pieces (scan or search): scan or type in Scan or search IMEI / serial in stock and tap a piece to add it.
  4. Save the bill as usual.

Tips

  • Only pieces in stock at that location can be sold.
  • The warranty starts on the sale day. The bill page and the print show each IMEI with its warranty end date (Warranty until …).

Returns

On a return from a bill, choose the pieces under Pick the pieces coming back — only that bill's IMEIs can be picked. Returns to the supplier, write-offs and stock transfers also ask which pieces.

Find any piece: Serial / IMEI lookup

On the computer (website)

  1. Open Stock → Serial / IMEI lookup.
  2. Type or scan at least 4 characters of IMEI 1 or IMEI 2.
  3. You see the item, its status (In stock, Sold, Returned to supplier, Written off or Cancelled), where it is, and the warranty left (or Warranty ended).
  4. Under History, every bill it was on is listed as In or Out — tap one to open that bill.

Tips

  • A customer brings a phone back for warranty? Look it up to see when and on which bill it was sold.

Buy a used phone

On the computer (website)

  1. Open Stock → Buy used phone.
  2. Seller: search a customer or supplier, or tap New seller and type the name and phone.
  3. Phone model: search the model, or tap New model.
  4. Type IMEI 1 and, for a dual-SIM phone, IMEI 2 (dual SIM).
  5. Fill Condition (scratches, battery, box…), PTA status (Approved, Not approved or Blocked) and Seller CNIC.
  6. Type the Price paid, choose the Payment (Cash now or Udhar (khata)) and tap Buy phone.
  7. Tap Print slip to print the purchase slip with the seller's CNIC, PTA status and condition, for the seller to sign.

Tips

  • It is saved as a purchase from the seller, and the phone comes into stock as Used. A customer who sells you a phone is also kept as a supplier.
  • If the IMEI is a phone your shop sold earlier, the screen tells you, and the phone comes back into stock.

Sell on installments (qist)

On the computer (website)

  1. Open New sale, add the items and choose the customer (not a walk-in customer).
  2. In the Installments (qist) card, tick Sell on installments.
  3. Type the Down payment (paid today) — this is what is received on the bill.
  4. Type the Number of installments and choose One installment every (Month, 2 weeks or Week).
  5. Check First installment on — it is one month after the bill's date unless you change it.
  6. If there is a guarantor, fill Guarantor name, Guarantor phone, Guarantor CNIC and Guarantor address.
  7. Check the Schedule (each installment's date and amount) and save the bill.

Tips

  • The rest is split into equal installments; the last one takes the paisa left over.
  • Everything not received now goes to the customer's khata as udhar.

Collect installments, reminders and alerts

  • The bill page has an Installments (qist) card with the schedule, each installment's status (Paid, Part paid, Due, Late or Upcoming) and the guarantor.
  • Receive installment opens Receive payment with this bill ticked and the next installment's amount filled in. WhatsApp reminder sends the customer a message.
  • Money received against the bill pays the installments oldest first.
  • Khata → Installments lists every plan with the tabs Due soon & late, Late and All: the next due date, the amount and how much is late, with Receive and WhatsApp on each row.
  • Alerts shows installments due within 3 days or late, under Installments, with a WhatsApp reminder.
  • The bill's print shows the schedule and the guarantor. Cancelling or editing the bill cancels its plan.

Common problems

“Enter the serial / IMEI of every piece before saving”
What to do: Scan or type one IMEI for each piece on the line (as many as the quantity), then save again.
“Serial … is not in stock” on a sale
What to do: That piece is sold already or is at another location. Check it in Stock → Serial / IMEI lookup.
“Serial … is already in stock” on a purchase
What to do: That IMEI is already in your stock. Check the number, or look it up in Serial / IMEI lookup.
“Nothing is left for installments”
What to do: The down payment covers the whole bill. Lower the down payment.
The Installments card doesn't show on a sale
What to do: Choose the customer first (not walk-in), and check that Udhar and Installments (qist) are on in Settings → Business & features.
