Returns, editing and cancelling bills

Bills are never deleted. A return makes a new return bill; editing saves a corrected bill and cancels the old one; cancelling marks the bill as cancelled. Stock, khata and cash are put right by themselves, and everything stays in the records.

A customer returns goods

On the computer (website)

  1. Open the sale bill and tap Return.
  2. Remove the lines that aren't coming back and lower the quantities as needed.
  3. Choose how the money goes back: Full gives it all back in cash, Adjust in khata takes it off their udhar, or type a smaller amount in Cash refunded now.
  4. Tap Save Sale Return.

On the phone app

  1. Open More → Bills & orders → Sales, open the bill and tap Return items.
  2. Set the quantities coming back.
  3. Under Give the money back, choose Cash refund or Adjust khata.
  4. Tap Save return.

Tips

  • The refund is what was paid for those items on the original bill (after the bill discount). Delivery charges are not refunded.
  • A walk-in customer is refunded in cash.
  • Returns need the internet on the phone.

Correct a wrong bill (Edit)

  1. Open the bill and tap Edit (Edit bill on the phone).
  2. Fix the items, quantities, rates or payment.
  3. Tap Save changes, write the reason and confirm.
  4. The old bill is cancelled and the corrected bill is saved with a new number. Both stay in the records.

Tips

  • A bill that has returns can't be edited — cancel its returns first.
  • A bill from an earlier day needs the “Enter past date” permission.

Cancel a bill

  1. Open the bill and tap Cancel bill.
  2. Write the reason and confirm. Your PIN may be asked.
  3. The bill stays in the records marked as cancelled. Stock, khata and cash entries are reversed. This can't be undone.

Common problems

I can't see Edit or Cancel bill
What to do: Your role isn't allowed. Ask the owner.
“From an earlier day — ask the owner”
What to do: Old bills need the back-date permission, or the day may be closed. Ask the owner or manager.
